With so many members in Triad Weyrs, we encounter many different e-mail servers and mail programs. Some of our members have very sophisticated setups, some check webmail as they can. Keeping this in mind, we need to be aware of the effect our own settings and response habits can have on others. Due to some problems with use of rich text, we've tried to set up a guide for our members when sending within the club.

First of all, fonts. Many mail programs are not set up to accept styled (HTML) text. They will either reject the post, or display it in an unreadable form. Try to keep HTML for webpages, instead of mail. Also keep in mind that some programs (notably Outlook) attach lengthy .rtf files to the end of emails if set to html/rich text mode, and this adds bulk to already over-full mailboxes. To avoid this set to send plain text only:

Second problem, size. Often our members are limited by both the speed of their servers and the programs they use to read mail. Posts should be split into parts after they reach the length of 14 to 16k. We want all of our fellow club members to be able to receive what we've spent so long to write, so keep it manageable. Then again, you want to send posts that are worth the time they take to open and read, so aim for a minimum of 5k.

Retro Problems

AOL 6.0 for Windows Ban

  • Since AOL's 6.0 version refused to offer members an option to turn off HTML email in the software, it is officially banned from use on ANY Triad Weyrs list, or for coposting with Triad Weyrs members. Anyone who persists in using AOL 6.0 or newer for Triad Weyrs will find his/her membership suspended.
  • HTML email messes up regular email programs, making coposters have to reformat, if they can reply properly at all. There is no need for colored fonts and huge lettering or any other HTML format in email outside of AOL itself. It also makes emails larger and bulkier, which is utterly unfair to members with small mailbox sizes.
  • More importantly, it strips our legalese off the list, and that will not be tolerated.
  • If you have a ranking persona in Triad Weyrs, you'll be given an option of switching to a triadweyrs.org address.
  • Another alternative is to use AOL's webmail at AOL.com, which is the only way according to the AOL technician I spoke with to send non-HTML email. You can also get a free email address from Yahoo or Hotmail, both fairly reliable.

RP via IM Clients

  • Any play-by-email club formed after the gaming rights were sold to Grolier UK (later than 1996) cannot have ANY form of "live" role play. This includes writing stories via AIM, AOL, ICQ, or any other live chat program you might have. All role play MUST be done via email only, and this is a very firm rule from Anne McCaffrey herself.
  • If you are a member of a club doing this that was not founded 1996 or prior, they are operating illegally and risk being shut down should the lawyers for the gaming company or Ms. McCaffrey find out.
  • Any Triad Weyrs member caught doing this will be expelled, no questions asked.
